EXHIBITOR PARTICIPATION · haf-exhibitor-application-2026-11-v4

Read before
you take part.

These are the application terms for exhibitor participation. If approved, you will receive a separate individual exhibitor agreement written by the organisers, with the actual arrangements and responsibilities, to read, accept and sign in your private category portal.

1. Applying as a exhibitor

This submission is a request to participate in Hurungwe Arts Festival as a exhibitor. Sending an application does not guarantee approval, space, benefits or a place at the festival.

2. Information and authority

Provide accurate organisation, representative and proposal details. You must have permission to submit personal information and media, and authority to apply for the organisation or business named in your application.

3. Private application tracking

Sign in with the same account used to apply to check your application status and messages. Application links do not grant access to another person’s account. Keep your contact details accurate and check your private tracker for decisions.

4. Approval and portal access

Only the HAF super admin or accountant can approve or reject your exhibitor application. Approval creates a participant account and a private reservation payment request. The category badge identifies your approved role; it does not confirm payment or reserve a place.

5. Reservation fee and payment confirmation

Exhibitors must pay the configured reservation fee for their call and category. The amount, currency and payment instructions are provided in the private invoice after approval. A place is reserved only after the super admin or accountant confirms actual received payment. Submitting a payment reference, receiving application approval or signing an agreement does not confirm payment.

6. Suspension and reservation status

The super admin or accountant may suspend a commercial application and its active reservation. Payment and agreement history are retained. A suspended application does not hold a reserved place; resuming it restores a reservation only when its payment is confirmed.

7. Separate individual agreement

If approved, you must read, explicitly accept and sign the individual exhibitor agreement supplied by the organiser. Financial terms, space, services, benefits and responsibilities must be stated in that agreement. They are not agreed merely by submitting this application. The organiser must also countersign before the agreement is complete.

8. Supporting information and media

Supporting files and information are used privately for application review, communications and contracting under the privacy notice. Any separate public use requires the relevant permission. Do not submit media you are not entitled to share.
